Assigning an automation copies its events onto each selected client and schedules them from a start date you choose. Week 1, day 1 lands on that start date for every client you pick.
Assign an automation to clients
- From the Automations list, open a row's menu and choose Assign flow. The same button sits in the editor header.
- Pick the starting on date — today or later. An info banner confirms the sequence runs for each client from their own start date.
- Select one or more clients, searchable by name. All of your clients except archived ones are listed, and there's no cap on how many you select.
- Click Assign flow. The confirm button shows the selected count.
How the schedule is worked out
- Day math — week 1 day 1 is the start date, week 1 day 2 is the next day, week 2 day 1 is seven days after the start, and so on.
- Timezone — every event's date and time are interpreted in the client's own timezone, not yours. A 9:00 AM message reaches each client at their local 9:00 AM.
- Start dates — must be today or later, judged in each client's timezone. Backdating is rejected.
- Snapshot — assigning copies the events onto the client. Editing or deleting the automation afterwards never changes what's already scheduled.
Content events assign silently. Message and notification events are themselves what the client receives.
What happens if an assignment fails
If some clients fail, a summary shows how many succeeded and failed. If every client fails, no summary appears — the dialog stays open and shows an error for each client.
Manage a client's scheduled events
Scheduled automation events appear on the client's profile Calendar tab, alongside workouts, forms, and habits. Each one carries a status dot, and an Automations toggle in the calendar filters hides or shows them.
- Add a one-off event — open a day cell's menu and choose Automation. It's the same event builder, plus an explicit date and time.
- Schedule a recurring event — open a day cell's menu and choose Schedule events under Recurring, or use the Schedule events button at the bottom of the Filters drawer.
- Edit or reschedule — click a pending event to change any field, including date (today or later) and time. Dragging works too, but only to tomorrow or later.
- Cancel — click a pending event and choose Delete. It never fires.
Only pending events can be edited or cancelled. Once an event has fired, run, errored, or been cancelled, it can't be changed.
Things to watch out for
There's no duplicate check. Assigning the same automation to a client who already has it schedules every event again, so the client would get duplicate messages, notifications, and assignments. Check their Calendar tab first if you're unsure.
Assigning an automation with no events succeeds quietly and schedules nothing.
Running a phased program event twice adds another subscription or another copy — a client can hold several subscriptions to one program with different start dates.
Team members can only schedule, edit, or cancel events for clients assigned to them. Events run as the person who scheduled them, so an automated message from a team member's event is sent from their account. If that team member has since been removed or unassigned from the client, the event runs as the head coach instead.
