How do I archive, reactivate, or delete a client?

Archive one client or several at once to free client spots without losing data, and reactivate them later from their profile banner.

Archiving is how you take a client off your active roster. It frees up their client spot and keeps all their data — workouts, metrics, notes, and photos stay exactly where they are.

There's no permanent delete. Archiving is the end state for a client account, and it's reversible at any time.

Archive one client

  1. On the Clients page, open the client's row menu and click Archive — or open their profile and click Archive client on the Profile page.
  2. Confirm in the dialog.

Archive several clients at once

  1. On the Clients page, tick the row checkboxes for the clients you want. The selection persists across pages, and Clear empties it.
  2. Click Archive in the selection bar and confirm.

What archiving does to the client's app

Their app switches to limited access, with a "Limited Access" card on the dashboard explaining what they can still do.

Reactivate an archived client

  1. Open the archived client's profile — a banner appears at the top.
  2. Click Reactivate account and confirm.

They go back to Active and their app restores full access with all their data intact. Reactivating uses a client spot again, so it fails if you're already at your plan's limit.

Find archived clients

On the Clients page, set the status filter to Archived. Opening an archived client's profile also switches the sidebar's status filter to Archived automatically, so you can move between them.

Quick answers

Why did a reactivated client come back as Pending?

They never finished account setup before being archived. Reactivating restores Active only for clients who completed signup; otherwise they return to Pending and still need their invitation link.
