How does the client limit work on my plan?

Your plan's client limit counts every active client in your workspace — here's what counts, what's blocked at the limit, and how to free up space.

Every Fitsly plan includes every feature. The only thing a plan changes is your client limit — the number of active clients your whole workspace can have.

What counts toward your limit

  • All active (non-archived) clients in your workspace count, including clients managed by your sub-coaches.
  • Sub-coach seats don't count. Team members are free; only clients count.
  • Archived clients don't count. Archiving a client frees their spot immediately.

The trial is shown in the app as trialing the "Starter Plan", but the trial's own limit is 5 active clients, not Starter's 20. Adding a sixth during the trial shows "Up to 5 clients are allowed on a free trial. Please upgrade your subscription to continue."

What happens at and over the limit

Viewing your data and managing your subscription are never blocked. When you're over the limit, a dashboard banner shows your count against the limit.

Get back under the limit

  1. Archive clients from your client list until you're at or below your plan's limit. Nothing is deleted — the client's data is preserved and they can be reactivated later.
  2. Or upgrade your plan from Settings → Subscription → Choose plan. Your new limit applies immediately.

Things to watch out for

  • Downgrading below your current client count is allowed with no warning. The change goes through, your limit drops immediately, and you're then over the limit and blocked from most client work until you archive or upgrade again.
  • Your team shares one limit. Everything a sub-coach or admin does runs against the head coach's single subscription and single client limit.
  • If your subscription lapses, your limit drops to 0 and your team members are blocked with a "Billing isn't active for this workspace yet" notice until you choose a plan. Their access is re-checked about once a minute, so restoring billing unblocks them without a re-login.
