What can each team role do?

Compare Owner, Admin, and Sub-Coach access, change someone's role, remove a member, and read the Team Members page.

A workspace has exactly one owner — the coach who created it — plus any number of admins and sub-coaches. Only the owner can manage the team, billing, and branding.

Roles are managed at Settings → Team Members on the web dashboard.

What each role can do

RoleClient accessTeam managementBilling & brandingHow many
OwnerAll clientsFull — invite, remove, change roles, assign clientsFullExactly one per workspace
AdminAll clients in the workspaceNoneNoneUnlimited
Sub-CoachOnly clients assigned to them, and only content they created themselvesNoneNoneUnlimited

Only Admin and Sub-Coach can be invited. The owner role belongs to the workspace creator and can't be granted.

Change a team member's role

  1. Open the member's row menu and choose Change role.
  2. Pick the new role and click Save changes. The button stays disabled until you pick a different role.

The change isn't instant. It applies the next time that member's session refreshes — which happens automatically as they keep using the app, and also whenever they switch workspaces or log in again. Until then they keep their previous level of access. Their existing client assignments are kept either way.

Remove a team member

  1. Open the member's row menu and choose Remove member.
  2. Confirm in the "Remove this member?" dialog.
After removalWhat happens
Their accessLost — if your workspace was their active one, they're moved out at their session's next automatic token refresh, or at their next login
Content they createdStays in place, still credited to them, so client history is unbroken
Their client assignmentsNot cleared or reassigned — reassign those clients yourself

Read the Team Members page

  • Stats strip — three tiles: Members, Pending invites, and Clients assigned.
  • Member list — one row per member with name, email, role pill, join date, status (Active or Pending), and the avatars of clients assigned to them. Your own row is marked "That's you" and has no row menu.
  • Search, filters, and sorting — search by name or email, filter by role or by Active/Pending status, and click a column header to sort. Default order is owner first, then admins, then sub-coaches, newest first within each role. The list shows 10 members per page, and reads "Nothing fits those filters." when a filter matches nothing.

Things to watch out for

  • Two stats-strip quirks. The Pending invites and Clients assigned tiles count only the members on the current page, so on a team of more than 10 they change as you page. With a search or filter active, the Members tile shows the filtered count, not your workspace total.
  • Everything a member creates is credited to them by name, on your side and in the client app — with one exception: the client app's meal-plan tab always shows you, the head coach, whoever built the plan.
  • Clients can't tell roles apart. In the client app's "Message a coach" picker, your account is labelled "Head coach" and admins and sub-coaches both appear simply as "Coach".
  • While your subscription is lapsed you can still view the member list, but inviting, removing, changing roles, and managing assignments all require an active subscription or trial.
