How do I add a sub-coach or team member to my team?

Invite a coach to your Fitsly team workspace from Settings → Team Members, then choose their role and send the invite.

To add a sub-coach or team member, open Settings from your avatar in the top right of the app, go to the Team Members tab, click Invite member, and fill in their first name, last name, email address, and role.

Steps

  1. Click your avatar in the top right of the app bar.
  2. Select Settings.
  3. Open the Team Members tab.
  4. Click Invite member in the top right of the page.
  5. Enter the team member's First name, Last name, and Email address.
  6. Choose a role: Admin or Sub-Coach.
  7. Click Send invite.

The invitee receives an email titled "[Your name] has invited you to join their team!" with a link to create their account or sign in.

Roles

  • Admin — Can access every client in the team.
  • Sub-Coach — Can only access clients assigned to them.

What the invitee sees

If the invitee does not already have a Fitsly account, the email link sends them to a signup page where they set a password, then land in your team workspace.

If the invitee already has a Fitsly trainer account, the email link sends them to the login page. After signing in, they can switch into your workspace by clicking their avatar and selecting Change Team from the dropdown.

Managing existing team members

From the Team Members tab you can:

  • Resend invite or Cancel invite for pending members.
  • Assign clients or Unassign clients for active members.
  • Change role to switch a member between Admin and Sub-Coach.
  • Remove member to revoke their access to your workspace.

Who can manage the team

Only the head coach (the account that owns the workspace) can invite, remove, change roles, or resend invites. Admins and sub-coaches in your workspace cannot perform these actions, even if they have an Admin role.

Inviting team members requires a trial or paid subscription on the head coach's account.

Things to watch out for

  • The first and last name you enter only seed defaults — if the invitee already has a Fitsly account, their existing name stays the same, and new signups can change the name during account creation.
  • If the email you enter belongs to an existing client account, the invite is rejected with "This email belongs to a client account. Please use a different email address." Ask the invitee to use a different email, or change the email on their client account first.
  • Sub-coaches and admins working in your workspace operate under your subscription and its limits, even if they have their own separate workspace on a different plan.
  • The owner role cannot be changed or removed — only the head coach holds it, and it stays with the workspace owner.
