How do I add a sub-coach or team member?
Invite coaches and admins into your workspace from Settings → Team Members, and resend or cancel an invitation that hasn't been used.
Team members work inside your workspace, with your clients, under your branding — and on your subscription. They don't pay anything.
Invite them from Settings → Team Members on the web dashboard. The coach mobile app serves the same dashboard, so it works there too.
- An active subscription or free trial.
- Your own workspace — the Team Members page is owner-only, and invited members never see it inside yours.
Invite a team member
- Go to Settings → Team Members and click Invite member. An empty team shows a "Build your team." message with its own Invite member button.
- Enter their first name, last name, and email address.
- Choose a role — Admin (can access every client in the team) or Sub-Coach (can only access clients assigned to them). AdminSub-Coachdefault
- Click Send invite. The button stays disabled until an email is entered.

You can't invite your own email, an email that's already in your team, or an email that belongs to a client account.
What happens after you send the invite
- New to Fitsly — they get an invitation email titled "{your first name} has invited you to join their team!" with a signup link. They show as Pending in your member list until they create their login. The signup page names you as the team owner, with their email locked and their name prefilled but editable; they set a password of at least 8 characters including a number or symbol.
- Already a Fitsly coach — they join immediately, with no accept step. You get a "Team member joined" notification, they get a welcome notification, and their next login lands in your workspace. They can switch back to their own at any time.
Resend or cancel a pending invite
- Open the pending member's row menu on the Team Members page.
- Choose Resend invite to email the same signup link again, or Cancel invite to withdraw it.
- If cancelling, confirm in the "Cancel this invitation?" dialog.
A cancelled or already-used link shows the invitee an "Invalid signup code" screen telling them to contact the team owner for a new invite link. Once the person has signed up, the invite can no longer be resent or cancelled — they're an active member, and you'd remove them instead.
Things to watch out for
- There's no limit on team size, and sub-coach seats don't count toward your client limit. Only clients do — active and pending.
- Branding and White Label stay with you. Team members can't open the Brand kit page or the White Label pages in your workspace.
- A pending member's name is the one you typed. Once they sign up, their row shows the name on their own account.

Why does it say "This email is already in your team" when I typed my own email?
That's the message shown when you try to invite yourself. You're the workspace owner, so you can't also be an invited member — enter the team member's email instead.
