How do I archive and manage conversations?

Archive a direct message to clear your inbox, and rename, lock, add members to, leave, or delete a group chat.

Direct messages and group chats are tidied up in different ways. A direct message can be archived — hidden from your inbox without deleting anything. A group chat can't be archived; you edit it, leave it, or delete it instead.

Archive a direct message

On the web dashboard, click the trash icon in the conversation's top bar and confirm. In the coach app, long-press a direct conversation.

Archiving hides the conversation from your inbox. Nothing is deleted, and the conversation returns automatically when you open it from web search, or as soon as anyone sends a new message in it.

Only direct messages can be archived. Group chats can't be.

View a group chat's details and members

Open a group conversation and click the group details button on the web, or tap the group header in the coach app. You'll see the group's name, member count, and member list, with coaches marked Admin on the web and Coach in the app.

On the web, the users icon in the conversation's top bar opens a members quick-view without the full panel, and a Visit community link appears if the group is linked to a community.

Rename a group chat or change its picture

In the group details on the web, click the pencil. The name is required — new groups are called "Group Chat" until you rename them. You can upload a group picture, or remove it to restore the default mosaic of member avatars.

Members see the new name and picture in the client app. Your own web inbox always shows the 2×2 member mosaic for groups, even when a custom picture is set.

Lock a group so only you can send

Use the Allow members to message toggle in the group details, which is on by default. Turning it off makes the group read-only for clients — they see "Your coach has locked this conversation." in place of the composer and can still read everything. You can always send.

Add or remove group members

Use Add members and Remove members in the group details on the web. A system message in the thread notes who was added or removed.

New members see the conversation from then on. Removed members lose access immediately, though the messages they already sent stay visible to everyone else. You can't remove yourself this way — use Leave chat. As a coach you can remove the group's creator.

Leave or delete a group chat

Choose Leave chat in the group details on the web, or Leave group chat in the coach app. A system message notes that you left, and the group carries on without you.

Choose Delete group chat in the group details on the web to remove it for every member. Only coaches can delete a group, and it can't be undone.

Things to watch out for

  • The coach app can't see or reopen archived conversations, because it has no search. They come back there only when a new message arrives.
  • If you created a group and then leave it, members can keep messaging each other even if the group was locked. Use Delete group chat if you want the conversation gone.
  • If the group is linked to a community, changing its chat members never changes the community's membership. Manage members from the community to keep both in step.
