How do I assign a check-in or one-time form to a client?
Assign check-ins in batches with start and end dates, link or copy a form per client, and copy one-time forms to many clients.
There are two places to hand a form to a client: from the form itself, when you're assigning a check-in to a batch of clients, and from a client's profile, when you're setting up one person.
The difference that matters most is whether the client is linked to your master template or gets their own copy.
Assign a check-in to clients from the form
- Open the check-in form and find the Clients assigned card — or use the Forms page row menu and choose Assign form.
- Click Assign and pick clients. You can search or filter by tag, and clients who already have it don't reappear.
- Optionally set a start date and end date for the clients you're adding, then confirm.
The schedule and its reminders run only inside that window. Leave the dates empty to start immediately and run indefinitely. The end date can't be before the start date.
The dates apply to the clients in that batch, so assign in separate batches to give clients different windows. Each client's window shows under their name on the Clients assigned card.
Use Remove on the same card to stop clients receiving the check-in. It leaves their schedule, their reminders stop, and their past submissions are kept.
Add a form from a client's profile
- Open the client's profile, go to the Forms tab, and click Add Form.
- Pick a check-in or one-time form.
- For a check-in, choose how it attaches.
Link to masterCreate a copy
- Link to master — stays in sync, so edits to your template flow through to this client automatically.
- Create a copy — an independent copy you can tailor just for this client.
- For a check-in, optionally set the start and end date window, in either mode. One-time forms don't take dates.
One-time forms are always copies. Check-ins appear on the client's schedule. One-time forms are presented when the client next opens the client app, unless that prompt is turned off for them.
Copy a one-time form to many clients
- On the Forms page, open the one-time form's row menu and choose Copy to clients — or use the Copy to clients card inside the one-time form editor.
- Pick the clients.
- Confirm. Each gets their own independent copy.
Until a client completes it, the form is presented when they open the client app. Once submitted, it drops off their assigned list.
Edit, unsubscribe, and delete from a client's profile
| Action | Where | What happens |
|---|---|---|
| Edit form | Custom form card | Opens the full editor for that copy — name, questions, agreements, description, cover image, and its own schedule. Changes apply to this client only |
| View form | Linked card | Opens the master template instead |
| Unsubscribe client | Linked card | The client stops receiving it and reminders stop; the template and past submissions are untouched |
| Delete for client | Custom card | The form and its reminders stop for that client; past submissions stay |
Quick answers
Why can't I select a form on a client's profile?
Forms with no questions can't be selected when adding a form from a client's profile. Add at least one question first.
