How do I create an onboarding form for new clients?
Build a one-time onboarding form, then have an onboarding flow assign it automatically the moment a new client joins.
An onboarding form is a one-time form — a questionnaire, PAR-Q, or waiver a client fills in once. You can copy it to clients by hand, or have an onboarding flow assign it automatically the moment someone joins.
Forms and onboarding flows are both built on the web dashboard.
Create the onboarding form
- Go to Forms and click New form.
- Enter a name, pick One-Time as the type, and click Create form.
- Add your questions in the editor. Health history, goals, and injuries suit Text and Multiple Choice; a starting weight or measurement suits Body Metric, which writes into the client's body metrics.
- Add an agreement if the form doubles as a waiver, with the terms written into the form or linked externally, and tick Required so it must be ticked to submit.
- Click Save form.
One-time forms have no schedule and no reminders.
Send the onboarding form to clients by hand
- On the Forms page, open the one-time form's row menu and choose Copy to clients — or use the Copy to clients card inside the form editor.
- Pick the clients.
- Confirm. Each client gets their own independent copy.
You can also add it to one client at a time from their profile's Forms tab → Add Form.
Assign it automatically with an onboarding flow
An onboarding flow is a bundle of content applied all at once the moment a new client joins, and forms are one of the categories it can bundle.
- Go to Onboarding under Tools and click New flow, or open an existing flow.
- In the flow editor, use the One-time Forms card to add your onboarding form. Use the Check-in Forms card to link a recurring check-in at the same time.
- Click Save onboarding flow.
- Attach the flow to a client when you create them, using the optional Onboarding flow section in the new-client form — or attach it to a payment package so anyone who buys is onboarded after checkout.
The flow runs the moment the client activates their invited account or completes checkout. Everything it bundles is assigned immediately and silently, so there's no notification storm on day one.
Quick answers
Can I stop a client being prompted every time they open the app?
Yes. Turn off Show pending forms on app open in their profile's Settings → Forms. Pending forms then wait in their Forms list instead.
