How do I send a broadcast announcement to my clients?

Send the same message to multiple clients at once from the Messages page, either as separate DMs or in a group chat.

To broadcast an announcement, open the Messages page, click the speakerphone icon above the conversation search bar, choose how to deliver the message, pick your recipients, write the message, and press send.

Steps

  1. Go to the Messages page from the sidebar.
  2. In the top right of the conversation list, click the speakerphone icon (tooltip: Broadcast an announcement).
  3. Under Message type, choose how the message should be delivered:
    • Send separately — each client receives the message as a one-to-one DM.
    • Send as a group — all clients receive the message in a single group chat.
  4. Under Recipients, click the + icon to add clients. Use the icon to remove any you've added.
  5. Under Message, type your message. You can also attach photos, a video, or record a voice note using the buttons below the message field.
  6. Click Send to {N} clients.

How existing conversations are handled

Broadcast reuses existing conversations instead of creating duplicates.

  • Send separately — for each recipient, if you already have a one-to-one conversation with that client, the message is sent into that existing conversation. Otherwise a new one-to-one conversation is created.
  • Send as a group — if a group chat already exists with the exact same set of members (you plus the selected clients), the message is sent into that existing group. Otherwise a new group chat named "Group Chat" is created.

Limits and rules

  • You can broadcast to a maximum of 100 clients at once.
  • Text messages have a 5000-character limit.
  • You can attach up to 5 photos per broadcast.
  • Media and text are mutually exclusive in a single send — if you attach photos, a video, or a voice note, the text field is replaced by the media preview. Send media first, then send a follow-up text broadcast if needed.
  • A voice note takes priority over other media. If you record a voice note, only the voice note is sent.

Things to watch out for

  • A new group chat created by a broadcast is named Group Chat by default. Rename it from the conversation info panel if needed.
  • When you attach multiple photos, each photo is sent as a separate message in the conversation.
  • If any selected recipient is no longer in your workspace, the broadcast will fail with "One or more recipients were not found." Remove that client and try again.
  • Recipients receive a push notification with your name as the title. The body shows the text for text messages, "Sent a voice message" for voice notes, or "Sent an image" for photos and videos.
