How do I bring my first clients into Fitsly?

Create your first clients, invite them by email or a copied link, and know what they see before their account goes active.

Clients don't sign themselves up. You create each account on the Clients page of the web dashboard, Fitsly emails them a personal signup link, and they set a password before logging in to the client app.

Every client is Pending until they finish that setup, and Active afterwards.

Add your first client

  1. On the Clients page, click New client — or Invite first client if your roster is empty.
  2. Pick a coaching mode: Online (the default), In-Person, or Hybrid.
  3. Enter their first name, last name, and email.
  4. Optionally add date of birth, sex, height, activity level, and their preferred units for weight and length. Units default to your own settings, and the client also inherits your timezone, date format, and country until they set up their account.
  5. Leave Send an email invite now checked to email them the moment you save, or untick it to invite later from their profile.
  6. Optionally pick an onboarding flow to set them up automatically with programs, plans, forms, habits, and settings.
  7. Click Save & invite — or Save client if you're not sending the invite yet. You land on the new client's profile.

Limits when adding clients

Field or ruleLimit
First name / last name35 characters each
Email address256 characters
Height1–1,000 cm
Client spots on a free trial5
Client spots with an ended trial and no subscription0

Archived clients don't use a spot. Pending clients do.

If email isn't the easiest route, send the link over text or chat instead.

  1. Open the Pending client's profile.
  2. On the Overview tab, find the getting-started panel.
  3. Click Copy invite link and paste it wherever you're talking to them.

The same panel has getting-started shortcuts: assign a program, add a check-in form, build habits, and build a nutrition plan.

What your client does next

  1. They open the invitation email — subject "[your first name] has invited you to train with them!" by default, and customizable in your branding email templates.
  2. The link opens a personal signup page showing your branding, with their email filled in and locked.
  3. They confirm their name, pick a country, and create a password of 8–128 characters with at least one number or symbol.
  4. A success page gives them App Store and Google Play buttons for the client app, and the same links are emailed to them.
  5. They install the client app and sign in with that email and password.

The moment they finish, their status flips to Active and you get an "Account Activated" notification, plus a push on the coach app.

Things to watch out for

Finishing setup doesn't sign them in. The web setup page ends at an "Account ready" screen — the next step is always installing the client app and signing in there.

Invite links never expire, but they're single-use. Resending an invitation sends the same link. "Invalid signup code" means the link is wrong or the account was already set up — in which case they should just sign in to the client app.

A wrong email is fixable while they're Pending. Resend the invitation from their profile and correct the address at that step; the new address becomes their login. It's rejected if another account already uses it.

A failed onboarding flow warns you. If part of an onboarding flow doesn't apply, you're told to check the client's account manually.
