To add a new client, go to the Clients page, click the + New client button in the top right, fill in the client's first name, last name, and email address, then click Invite. The client account is created right away and the client receives an email invitation to activate it.
Steps
- In the left sidebar, click Clients to open your client list.
- Click the + New client button in the top right of the page. The Add new client window opens.
- Choose the client type at the top of the window: Online, In-Person, or Hybrid. Online is selected by default.
- Enter the client's First name (required).
- Enter the client's Last name (required).
- Enter the client's Email address (required).
- Leave Send an email invite to the client so that they can activate their account now checked if you want the invite email to go out immediately. Uncheck it if you'd rather send the invite later from the client's profile.
- Optionally fill in any of: Date of birth, Sex, Height (cm), Activity level.
- Optionally change the Units of weight and Units of length dropdowns. They default to whatever you use on your own coach account.
- Optionally pick an Onboarding Flow from the panel on the right side of the window. If you haven't created any flows yet, this panel will say "No onboarding flows found" — you can leave it blank.
- Click Invite at the bottom right of the window.
You'll see a confirmation toast and you'll be taken straight to the new client's profile page.
What happens after you click Invite
- The client account is created and added to your client list.
- If Send an email invite was checked, the client gets an email asking them to activate their account.
- The client's profile shows a yellow banner that reads "This account is pending activation by the client." until the client activates the account by following the link in the invite email.
- If the invite was missed or you unchecked the box, you can resend it any time using the Resend email invitation link on that banner.
If you're a subcoach
If you're a subcoach on a team workspace, you can still add new clients the same way — the + New client button is available to you. The client will be added to the head coach's workspace and counts toward the workspace's overall client limit.
Things to watch out for
- The + New client button submits with the label Invite at the bottom of the window — not "Save" or "Create."
- Your workspace has a maximum number of clients, shown next to the page description (for example, "1/20 clients in your workspace"). The cap is set by your subscription plan. If you're at the limit, you'll need to upgrade your plan or archive an existing client before you can add a new one.
- The unit defaults (kg / km vs lb / miles) come from your own coach account settings, so what's pre-filled for you may not be the metric system shown in some examples.
- Date of birth, Sex, Height, and Activity level are optional at creation. If you skip them, you or the client can fill them in later from the client's Profile.
- The success message currently reads "A new account for this client has been created successfuly" — the missing letter is a known cosmetic typo, not a sign of a failed creation.
