How do I add a new client to Fitsly?

Create a client on the Clients page, set their coaching mode and details, and email them an invitation to finish signup.

New clients start on the Clients page of the web dashboard. You create the account, Fitsly emails the invitation (or you share the link yourself), and the client finishes signup on a web page before logging in to the client app.

Add a new client

  1. Open Clients → New client — or click Invite first client if your roster is empty.
  2. Pick a coaching mode. OnlinedefaultIn-PersonHybrid
  3. Enter their first name, last name, and email. All three are required.
  4. Optionally add date of birth, sex, height, activity level, and their preferred units for weight and length. Units default to your own settings, and the client inherits your timezone, date format, and country until they set up their account.
  5. Leave Send an email invite now checked to email them as soon as you save, or untick it to invite later from their profile.
  6. Optionally pick an onboarding flow to set them up automatically with programs, plans, forms, habits, and feature settings.
  7. Click Save & invite — or Save client if you're not sending the invite yet. You land on the new client's profile.

What happens after you save a new client

The client is created with status Pending. If you invited them, they get an email — default subject "[your first name] has invited you to train with them!", which you can customize in your branding email templates — linking to their personal signup page. That page carries your branding. Once they set a password there, they become Active and can log in to the client app.

You can assign programs, notes, and settings to a Pending client straight away. Everything is waiting for them when they join. If part of an onboarding flow fails to set up, you're warned to check their account manually.

What's the difference between a Pending and an Active client?

Pending means you've created the client but they haven't finished account setup, so they can't log in to the client app yet. They become Active the moment they set a password through their invitation link.
