Open Clients in the dashboard, click New client to create the account, then use the nine tabs in the client's profile — General, Calendar, Nutrition, Forms, Vault, Habits, Metrics, Integrations, and Settings — to manage every part of their coaching.
Create a new client
- Open the Clients page in your dashboard.
- Click New client.
- In the Add new client modal, choose a training type: Online, In-Person, or Hybrid.
- Optionally select an onboarding flow. The flow auto-assigns the weekly progress check-in, habits, and vault collections you've configured for that flow.
- Enter the client's name and email.
- Leave Send an email invite to the client so that they can activate their account now ticked to invite the client immediately. Untick it if you want to build out their profile before they receive the invite — you can send the invite later.
- Save the client.
Until the client accepts the invite, their profile shows a banner: This account is pending activation by the client.
What each tab in the client profile does
General
The General tab has six sub-sections in its left menu:
- Overview: a snapshot of the client's progress, weight trend, weekly calories, recent progress photos, and recent activity.
- Profile: contact details, age, join date, and weeks since they joined.
- Pinned Notes: private notes that the client does not see. Use for medical notes, session reminders, or anything else you need to be reminded of. Click Add new to create one.
- Goals & Notes: the client's own goals (shared), your private coach notes, and any limitations.
- Subscriptions: the client's active subscription, if you're using Fitsly Payments.
- Payment History: the client's payment history.
If you're a subcoach, Subscriptions and Payment History are hidden — those sections are only visible to the head coach of the workspace.
Calendar
The Calendar tab is the client's training week. Anything assigned by their onboarding flow (such as weekly progress check-ins or habits) appears here automatically.
To add an item to a day, click the + icon on that day and pick one of:
- Workout
- Progress photos
- Body metrics
- Automation
- Schedule events
To assign a workout, choose Workout, then Import from library, then select the workout.
To rearrange a workout, drag it using the three dots at the top of the workout card. To edit a scheduled workout, click it open and use:
- Edit workout — change the workout's contents.
- Change day — move the workout to a different day.
- Copy to day(s) — duplicate the workout to other days (for example, repeat lower body day every Tuesday).
- Log workout — log the workout for the client in session.
- Remove — remove the workout from the schedule.
When you start logging a workout for a client (Log workout → Yes, log for client), the client cannot start the workout from their own app until you finish. Use Continue logging to pick up where you left off.
Nutrition
The Nutrition tab has four views in the top bar:
- Weekly Overview: weekly calories and macro hits.
- Nutrition Logger: how the client logged their food each day.
- Meal Plans: click Add Meal Plan, pick a plan, and Assign meal plan. The client is notified that the meal plan was assigned.
- Macro Targets: set the client's Calories, Protein, Carbs, and Fats. When protein, carbs, and fats are all enabled in grams, calories auto-calculate from them. Set a Variance percentage to give the client flexibility around the target (for example, a 10% variance on a 2,000-calorie target lets them eat between 1,800 and 2,200). Click Save changes to save the default targets. Click Create override to set a one-off target for a specific day (for example, a refeed) — overrides take priority over the default targets.
Forms
- Assigned forms: forms the client has been assigned, including their weekly progress check-in.
- Form submissions: every submission the client has made.
Vault
Shows the vault collections the client has access to. To assign a single file (such as a welcome guide), click Add vault files — the client gets access immediately.
Habits
Shows the client's weekly habit completion. Click New habit to add one. The habit modal has three options:
- New Habit — create a custom habit (set a title, frequency, start date, optional end date, and an optional daily reminder time).
- Your Library — pick from habits you've already saved.
- From Template — pick from Fitsly's habit templates.
Metrics
Three sub-sections cover different metric types:
- Body Metrics: weight, BMI, lean body mass, body fat mass, muscle mass, and any custom metric you add. Click Manage to toggle which built-in metrics appear or to add a custom metric (set a name and a unit such as kg or cm).
- Exercise Metrics: per-exercise weight, reps, and total volume.
- Workout Metrics: workouts completed in the last 7 and 30 days, workout completion rate, and personal bests.
Integrations
Connect Apple Health to pull steps, calories, weight, body fat, heart rate, and other Apple Health data into the client's profile.
Settings
The Settings tab has five sub-sections in its left menu:
- Feature Control — toggle which features the client sees in their app: Training, Nutrition, Messaging, Check-ins, Habits, Progress Photos, Body Metrics, Vault, and Community.
- Training:
- Workout day movement → tick Allow the client to move their workout dates to let the client re-arrange their own training days.
- Exercise library access → tick Search from system exercises to let the client search Fitsly's exercise library, and Search from your custom exercises to let them search the custom exercises you've created.
- Calendar visibility → tick Show the previous week to let the client see past weeks, and set how many future weeks they can see.
- Nutrition:
- Macro visibility → Show macros for this client controls whether macro and calorie values appear on the client's nutrition logger.
- Food search visibility → Show recommended foods in search and Show custom foods in search control which food sources appear when the client searches for food.
- Forms:
- One Time Form Visibility → Show one time forms upon entering app surfaces one-time forms (such as your onboarding form) when the client opens the app.
- Preferences — set the client's Units of Weight (kg or lbs) and Units of Length (cm or inches).
Click Save Changes at the bottom of each section to lock in your changes.
Things to watch out for
- The invite checkbox on the Add new client modal is on by default. Untick it if you want to build out the client's profile before they receive the invite.
- Clients who have not accepted their invite show as pending activation and cannot log in to their app.
- Pinned Notes, coach Notes, and Limitations are private to you — the client does not see them. Goals are shared with the client.
- Macros, Variance, and macro Overrides live on the Nutrition tab → Macro Targets, not on the Settings tab. Macro visibility and Food search visibility live on the Settings tab → Nutrition. They're set in two different places.
- When you start logging a workout for a client, the client cannot start the same workout themselves until you finish logging or remove the in-progress log.
- Subscriptions and Payment History under the General tab are only visible to the head coach of the workspace.
