How do I turn the Vault on or off for a client?

Use the per-client Vault feature toggle to show or hide the Vault tab in the client app, and see how team libraries affect access.

Every client has a Vault feature toggle in their profile settings. It controls whether the Vault tab appears in the client app for that client. It's on by default, so most coaches never need to touch it.

The toggle is on the web dashboard, in the client's profile settings.

Turn the Vault off for a client

  1. Open the client's profile and go to their settings.
  2. Find the feature controls and locate Vault — its description line reads "Shared files & resources".
  3. Switch it off.

Turning it off hides the Vault tab in that client's app entirely. Turn it back on and the tab reappears with everything you've shared still in place.

The Vault tab is also hidden while a client's account is archived, regardless of the toggle.

Set the Vault feature in an onboarding flow

An onboarding flow's Enabled Features card includes a Vault toggle, alongside Habits and Community in the Content group. All the flow's toggles default to on, and any toggle a flow doesn't set counts as on. The flow applies them to the client's account the moment they join.

A flow runs once at join, so changing a flow's toggles only affects clients who join afterwards.

Cards for a feature the flow has switched off dim with an "off" pill, but you can still add content to them. The content simply belongs to a feature the flow disables.

Control who on your team can see and share vault content

Vault content belongs to the workspace, so your team can work from one shared library. Two permission levels apply:

If a team member can't see a resource another coach uploaded, grant them the "view all team resources" permission, or have the head coach manage that item.

Things to watch out for

  • If a client says their Vault tab is missing, there are two likely causes: the Vault feature toggle in their profile is off, or their account is archived. Turn the toggle back on, or reactivate the account.
  • Turning the Vault off doesn't unshare anything. Collections and files stay assigned to the client and reappear when you turn it back on.
