What is the Vault, and how do I use it?
Understand how the Vault stores your files, links, and videos, how collections work, and how content reaches clients.
The Vault is your content library. It stores files, videos, and links, lets you organize them into curated collections alongside your recipes and workouts, and shares them with the clients you choose.
Clients see everything shared with them in a Vault tab in the client app — welcome packs, guides, video libraries, recipe books, on-demand workout collections. The Vault is read-only for them: everything in it comes from you.
The two pages in your Vault
You manage the Vault from the web dashboard, on two pages:
- Vault resources — your raw library. Every file, video, and link you've uploaded, with search and tag filtering.
- Vault collections — curated sets you share as one unit. A collection is typed as Resources, Recipes, or Workouts, and holds sections of items with their own layout and filter tags.
Nothing on either page is visible to a client until you share it.
How content reaches a client
There are two routes:
- Share a collection — the whole collection appears in the client's Vault tab, and they get access to every item inside it.
- Share individual files — they land on the client's Files page, reached from the card at the top of their Vault tab.
Onboarding flows and automations can do both for you automatically — for example, a welcome pack when a new client joins.
Sharing takes effect immediately, and edits are live — there is no draft state. Sharing something a client already has does nothing; no duplicate is created.
Vault rules at a glance
| Rule | What it means |
|---|---|
| Sharing a collection | Gives access to every item inside it, including files never shared individually |
| Adding an item to a shared collection | Immediately visible to everyone that collection is shared with |
| Deleting a collection | Removed for all assigned clients, can't be undone; the items stay in your library |
| Deleting a resource | Gone from your library and every client's Files page; remove it from any collection section too |
| Duplicating a collection | Keeps sections and items, starts with no clients |
| Collection type | Locked once the collection is created |
What clients can do in the Vault
Clients can browse their collections, filter them by All, Resources, Workouts, or Recipes, search inside a collection, and filter a section by the tags you set. Files and links open in an in-app browser view, videos play in a built-in player, workouts in a workout collection start as on-demand workouts, and recipes open their full recipe page.
The Vault is built for viewing — nothing is saved for offline use, and content loads fresh each time it's opened.
Working with a team library
Vault content belongs to the workspace. The head coach and team members with the Admin role see the whole library. Sub-Coaches see only the resources, tags, and collections they created themselves, and can share only with clients assigned to them.
Quick answers
Why is a client's Vault tab missing?
Either the Vault feature toggle in their profile is turned off (it's on by default), or their account is archived. Turn the toggle back on, or reactivate the account, and the tab reappears.
