How do I share a collection or file with a client?
Share collections and individual files with clients from the collection editor or their profile, and set up automatic sharing.
Nothing in the Vault is visible to a client until you share it. You can share from the collection editor, from a client's profile, or automatically through onboarding flows and automations.
Share a collection from the collection editor
- Open the collection. The editor header shows who it's already shared with.
- Click Add clients and pick clients using the search.
- Confirm.
Archived clients, and clients who already have the collection, don't appear in the picker.
Sharing a collection gives those clients access to everything inside it — you don't need to share the individual items too. To take it away, use Remove clients in the same header. It disappears from those clients' apps and no record of the past sharing is kept.
Share collections and files from a client's profile
Each client's profile has a Vault tab showing everything that client can open, split into Collections and Files.
- Open the client's profile and go to their Vault tab.
- Click Add under Collections, or Add files under Files.
- Tick items on or off. The footer counts additions and removals so they save together.
- Click Save changes.
The collections picker shows your whole library with filter chips for All, Recipes, Workouts, and Resources. The files picker uses chips for All, Documents, Media, and Links. Items the client already has show a Shared badge and are pre-selected.
Shared files land on the client's Files page, reached from the card at the top of their Vault tab.
Preview or remove what a client has
From the client's Vault tab you can:
- Choose Preview contents on a collection card to see what's inside it.
- Choose Open in vault to jump straight to that collection's editor.
- Remove a collection or file from its card or row, with a confirm step. The item stays in your library.
Share automatically with onboarding flows and automations
Onboarding flows have Vault resources and Vault collections cards, gated by the flow's Vault feature switch. Automations have vault resource and vault collection events.
Both use the same pickers. When the flow or automation fires, the content is shared exactly as if you'd done it by hand — again with no notification. This is the usual way to deliver a welcome pack when a new client joins.
Sharing rules

Team members with the Sub-Coach role can only share with clients assigned to them.

Why won't a collection appear in the picker?
It probably has no items in it. Add at least one item first. The collection editor's own Add clients button doesn't have this rule.
