To send a vault resource to a specific client, open that client's profile, go to the Vault tab → Files sub-tab, click Add, pick the resource from your vault library, and click Add vault items. The file appears in the client's app immediately.
Steps
- In the left sidebar, under Tools, click Vault.
- On the Resources tab, click Add resource.
- In the Add new resource modal, choose Upload File, enter a resource name, choose your file, and click Upload File. The resource is now in your vault library.
- In the left sidebar, click Clients and open the client you want to send the resource to.
- In the client profile's top navigation, click Vault.
- Click the Files sub-tab.
- In the Assigned Files section, click Add in the top-right.
- In the Add vault files modal, click the + next to each resource you want to send.
- Click Add vault items. The modal closes and the resource appears in the client's Assigned Files list.
Files vs. Collections
The client's Vault tab has two sub-tabs:
- Files — assign individual resources one by one to a single client. Best for ad-hoc sharing.
- Collections — assign a curated bundle of resources at once. Best for organized, reusable content.
If you want to send a Collection, the collection must already exist. Create one first at Vault → Collections → Add collection, then assign it from the client's Vault → Collections tab.
Can clients see this resource?
Yes. As soon as you assign a vault resource or collection to a client, it appears in their app in two places:
- The Vault tab in their bottom navigation (assigned collections and resources).
- The Vault section on their dashboard, which shows a count of their assigned collections and resources and links into the Vault tab.
Tapping into the Vault tab lets the client open any assigned collection or file directly. They cannot see other clients' resources or anything in your library that you have not assigned to them.
If you have turned off Vault for this client under their Settings → Feature Control, the Vault tab and the dashboard Vault section are hidden, and the client will not see anything you assign — even though the assignment still saves on your side. Re-enable Vault for the client to surface the resources to them.
Things to watch out for
- Your vault is a shared library. Uploading a resource only makes it available to assign — the resource is not sent to a client until you assign it from that client's profile.
- There is no "Send to client" shortcut from the vault library. The ellipsis menu on a resource only offers Edit resource and Delete resource. Assignment always happens from the client's profile.
- Vault resources cannot be attached to chat messages. The paperclip icon in the messaging composer only supports photos and videos.
- Clicking Add vault items saves immediately with no confirmation dialog. To undo, use the row-level Delete button on the assigned file to remove the assignment.
- You can assign vault files to a client whose account is still Pending activation — they will see the resources once they accept the invite.
