How do I pin a note to a client's dashboard?

Pin a dated message to one client's dashboard or your whole roster, choose when it shows, and remove it from one client or everyone.

A pinned note appears as a card near the top of the client's dashboard in the client app, with your photo and name, on the days its rule allows. Use it for gym closures, challenge announcements, or a message for one client to see first thing.

Notes are managed on the Pinned notes page and from any client's profile.

Pin a note to one client

  1. Open the client's profile and go to General → Coaching → Pinned notes.
  2. Click Add new.
  3. Write the note and choose its visibility.
  4. Save.

The note is pre-assigned to that client and the audience is locked, so you can't accidentally send it to your whole roster.

Pin a note to any audience

  1. Go to the Pinned notes page and click New note.
  2. Write the note — up to 2,000 characters.
  3. Choose the visibility: Always show (default), Specific day, or Between date range.
  4. Choose who sees it with the add and remove client pickers — or leave no one selected to show it to all your clients, including clients you add later.
  5. Save.

Date rules follow each client's own local date, so "show on the 12th" means the 12th wherever that client is. For a date range, the start date must not be after the end date.

Edit or delete a pinned note

On the Pinned notes page, use a note card's edit action to change any field, including adding or removing clients from the audience. The delete action removes the note from every client it was shown to.

Remove a note from one client

On the client's profile, under Coaching → Pinned notes, choose Remove from this client. If the note is shared with others, it disappears for this client only and stays for the rest.

If this client is the note's only audience, the action reads Delete note instead and deletes the note outright. The same thing happens when you remove the last assigned client from a note.

Find notes you've already pinned

The Pinned notes page opens on Active — notes whose end date hasn't passed, including notes scheduled to start in the future. Switch to Past for notes whose end date has gone by. Notes are paged 12 per page, and creating a note while you're on Past switches you back to Active so you can see it.

Things to watch out for

Leaving the audience empty is not the same as picking everyone once — it means all your clients, so anyone you add later starts seeing the note too.

On the client's side, nothing shows when no note's rule matches today. If a client says they can't see a note, check its visibility dates against their local date, not yours.

In a team, the Pinned notes page shows a sub-coach only the notes they created, unless they have permission to view all team resources.
